1What CastPilot Studio is
CastPilot Studio is an application that helps actors and performers stay organized by gathering audition-related information in one place. It can read audition emails you receive, collect attached materials such as scripts, sides, and PDFs, and use AI to help summarize and organize that information so it is easier to act on.
This Privacy Policy explains what information CastPilot Studio works with, how that information is used, where it is processed and stored, and the choices you have. It applies to the CastPilot Studio app and the directly related services described below.
2Data you provide
When you set up and use CastPilot Studio, you may provide information such as:
- Account and profile details you enter yourself, such as your name or contact email.
- Authorization to connect your Gmail account, which you grant through Google's standard sign-in screen.
- Content you import or upload, such as audition materials, notes, or files you choose to add.
- Preferences and settings you configure within the app.
You decide what to connect and what to add. You can choose not to provide certain information, though some features may then be unavailable.
3Gmail read-only access
If you choose to connect your Google account, CastPilot Studio requests read-only access to your Gmail using the scope https://www.googleapis.com/auth/gmail.readonly. This access is optional and is used solely to find audition-related messages, casting notices, self-tape requests, callback details, sides, attachments, deadlines, and related instructions so the app can organize that information for you inside CastPilot Studio.
CastPilot Studio may process Gmail metadata and content needed for this feature, including sender name and email address, subject line, message date, message snippets or body text, attachment indicators, and attachments or files you choose to import for audition prep. CastPilot Studio does not request permission to send email, delete email, modify email, or manage your mailbox.
CastPilot Studio's use of information received from Google APIs follows Google's API Services User Data Policy, including its Limited Use requirements. You can revoke the app's access at any time through your Google Account permissions.
4Audition emails and files
To do its job, CastPilot Studio reads audition emails and works with the materials attached to them, including audition files, PDFs, and sides. This may include the text of those emails and the contents of attachments you receive.
This information is used to identify, organize, and present audition details to you, such as project titles, roles, dates, locations, deadlines, self-tape instructions, casting platforms, and the documents you need. It is processed for your benefit within the app and is not used for advertising, retargeting, or building advertising profiles.
5Google API Services User Data Policy
CastPilot Studio's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to provide and improve user-facing audition import and audition prep features that are visible inside the CastPilot Studio app.
- No sale or advertising use: Gmail data is not sold, rented, traded, used for advertising, or used for retargeting.
- No unauthorized transfer: Gmail data is not transferred to third parties except as necessary to provide user-facing CastPilot Studio features, comply with law, maintain security, or as otherwise permitted by Google's Limited Use policy.
- No human reading by default: CastPilot Studio does not allow humans to read Gmail message contents unless you specifically ask us for support involving that data, it is necessary for security, or it is required by law.
- User control: You can disconnect Gmail inside the app or revoke access from your Google Account permissions page.
6AI processing (Anthropic / Claude)
CastPilot Studio uses artificial intelligence to help summarize and organize your audition information. To do this, relevant content may be sent to Anthropic and processed by its Claude models.
Content is sent to Anthropic only to generate the summaries and organization features you use in the app. Your use of these features is also subject to Anthropic's privacy practices. We aim to share only the information needed for the requested AI task.
7Backend and storage (Supabase)
CastPilot Studio uses Supabase as its backend and storage provider. Your account data, Gmail connection metadata, encrypted or protected OAuth tokens where required to maintain your connection, and the audition information the app organizes for you may be stored in Supabase so that your data is available across sessions and devices.
Data stored with Supabase is handled under Supabase's privacy practices in addition to this policy. Access to this data is limited to what is necessary to operate the app.
8No sale of personal data
We do not sell your personal data. Your audition emails, Gmail data, files, and other personal information are not sold, rented, or traded to third parties, and they are not used to build advertising profiles.
9No sending, deleting, or changing your Gmail
CastPilot Studio's Gmail access is read-only. The app does not send emails on your behalf, does not delete any of your emails, and does not modify the contents of your mailbox. It only reads the audition-related messages needed to organize your auditions.
10Data retention and deletion
We retain your information for as long as your account is active or as needed to provide the app's features. You can request that your data be deleted at any time.
To request deletion of your data, contact us using the details in the Contact & support section below. You can also disconnect your Gmail access inside the app or at any time through your Google Account permissions. Disconnecting Gmail revokes the app's ongoing access and removes the stored Gmail connection. After a deletion request, we will remove the associated data within a reasonable period, except where retention is required for legitimate security, operational, or legal reasons.
11Children and age
CastPilot Studio is not directed to children. It is intended for users who are at least 13 years old (or the minimum age required in your country). We do not knowingly collect personal information from children under that age. If you believe a child has provided us information, please contact us so we can address it.
12Security
We take reasonable measures intended to protect your information, including using established service providers such as Google, Anthropic, and Supabase and limiting access to your data to what is necessary to operate the app. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
13Changes to this policy
We may update this Privacy Policy from time to time. When we make changes, we will revise the effective date at the top of this page. Significant changes may be communicated through the app. Your continued use of CastPilot Studio after an update means you accept the revised policy.
